Booking and cancellation policy for day trips and multi-day trips
Travel terms and conditions are terms that you must accept if you plan to travel with Arctic Activity Travel Iceland (AATI). The terms and conditions cover booking a trip, payments for a trip, cancellation terms, refunds, liability of our partners, laws, jurisdictions, and insurance that Arctic Activity Travel Iceland (AATI) strongly recommends that the Client have. Some activities require the knowledge, experience, official license (e.g., driver's license and firearms license), and physical strength of the participant so that the participant can perform the activity successfully. If you plan to participate in such activities, you must meet all the conditions; otherwise, the risk will be too high, but you are responsible for your safety.

1.0 Booking terms and conditions
Arctic Activity Travel Iceland (AATI) is a tour operator that offers tourists a wide range of exciting trips and activities in Iceland. Inquiries about trips, activities, or travel reservations should be sent to info@arctic-activity-travel-iceland.com. The inquirer or prospective Client must provide correct information about their email address and phone number so that AATI can answer the questions. Offers for private trips are based on the trip's total price in Iceland unless otherwise stated. Travel costs abroad and international flights are not included in the trip's total price. The journey begins upon arrival at Keflavík Airport and ends upon departure from Keflavík Airport unless otherwise agreed.
1.1 Day trip
1.1.1 The confirmation payment
The confirmation payment is 25% of the trip's total price must be made to Arctic Activity Travel Iceland's credit card account at the time of booking by 90 days before the trip's start date.
1.1.2 The final payment
The final payment is 50% of the total price of the day trip, must be made 10 days before the trip's start. The payment must be made to Arctic Activity Travel Iceland's credit card account.
1.1.3 The confirmation payment and the final payment have been paid
When the Client has paid the confirmation payment (50%) and the final payment (50%), and AATI has issued a confirmation invoice, an agreement has been reached that AATI will provide the Client with a specific service. A Client who has paid full payment for the day trip for himself and his travel companions has accepted the terms of AATI and our partners.
1.2 Multi-day trip
1.2.1 The confirmation payment
The confirmation payment is 25% of the total price of the trip and is paid at the time of booking no later than 90 days before the start date of the trip into the credit card account of Arctic Activity Travel Iceland.
1.2.2 The final payment
The final payment is 75% of the total trip price must be made to Arctic Activity Travel Iceland's credit card account no later than 30 days before the trip's start date.
1.2.3 The confirmation payment and the final payment have been paid
When the Client has paid the confirmation payment (25%) and the final payment (75%) and AATI has issued a confirmation invoice, an agreement has been reached that AATI will provide the Client with a specific service. A Client who has paid in full for the multi-day trip for himself and his travel companions has accepted the terms of AATI and our partners.
2.0 Cancellation terms when the Client cancels
Cancellation terms when the Client cancels the trip are based on the start date of the journey that has been ordered. All requests for cancellations or other changes to the trip that the Client wants to make must be sent in writing to info@arctic-activity-travel-iceland.com. Send email.
2.1 Day trip - Cancellation terms when the Client cancels
Once a day trip has been ordered, the trip is planned, the service and the vehicles are reserved. This includes the direct costs that Arctic Activity Travel Iceland (AATI) must pay for its orders that belong to the order. A cancellation fee is retained to cover these accrued direct costs incurred when the Client cancels an order.
The refund is made by the cancellation terms and procedures and paid at the first opportunity (within 14 days). The required amount is transferred to the same credit card as the confirmation payment in the same currency. AATI cannot be held responsible for delays in the payment system once the refund has been paid.
2.1.1 Client cancels 6 days or more from the start date of the trip
If the day trip is canceled 6 days or more from the trip's start date. In that case, only the final payment will be refunded or less after deducting the direct costs incurred in own reservations when reserving the vehicles and services belonging to the reservation. The refund is made by the cancellation terms and procedures and paid at the first opportunity (within 14 days). The required amount is transferred to the same credit card as the confirmation payment in the same currency. AATI cannot be held responsible for delays in the payment system once AATI has completed paying the refund.
2.1.2 Client cancels 5 days or less from the start date of the trip
If the day trip is canceled 5 days or less from the trip's start date, there is no refund.
2.1.3 Client does not attend the trip
A client who does not attend the day trip is not entitled to a refund.
2.2 Multi-day trip - Cancellation terms when the Client cancels
Once a multi-day trip has been ordered, the trip is planned, and hotel rooms, activities, vehicles, trips with passenger and car ferries, trips with airplanes or helicopters are reserved, tour guides and other staff hired who will be involved in the trip, to name a few.
With the order, there are direct costs that Arctic Activity Travel Iceland (AATI) must pay for its orders when the vehicles and services that belong to the order are reserved. A cancellation fee is retained to cover these accrued direct costs incurred when the Client cancels an order.
The refund is made in accordance with the cancellation terms and procedures and paid at the first opportunity (within 14 days). The required amount is transferred to the same credit card as the confirmation payment in the same currency. AATI cannot be held responsible for delays in the payment system once it has completed paying the refund.
2.2.1 Client cancels 60 days or more from the start date of the trip
If the multi-day trip is canceled 60 days or more from the start date of the journey and only the confirmation payment has been paid, a refund of approximately 15% of the total cost of the journey or less after deducting the direct costs incurred in own reservations when the vehicles and services are reserved belonging to the order.
If the multi-day trip is canceled 60 days or more from the start date and the confirmation payment and the final payment have been paid, approximately 90% of the total cost of the trip or less will be refunded after deducting the direct costs incurred in own bookings when the vehicles and services are reserved belonging to the order.
2.2.2 Client cancels 45 - 59 days from the start date of the trip
If the multi-day trip is canceled 45 - 59 days from the start date of the journey and only the confirmation payment has been paid, a refund of approximately 10% of the total cost of the journey or less after deducting the direct costs incurred in own reservations when the vehicles and services are reserved belonging to the order.
If the multi-day trip is canceled 45 - 59 days from the start date of the trip and the confirmation payment and the final payment have been paid, a refund of approximately 85% of the total cost of the journey or less after deducting the direct costs incurred in own bookings when the vehicles and services are reserved belonging to the order.
2.2.3 Client cancels 30 - 44 days from the start date of the trip
If the multi-day trip is canceled 30 - 44 days from the start date of the journey and only the confirmation payment has been paid, a refund of approximately 5% of the total cost of the journey or less after deducting the direct costs incurred in own reservations when the vehicles and services are reserved belonging to the order.
If the multi-day trip is canceled 30 - 44 days from the start date of the trip and the confirmation payment and the final payment have been paid, a refund of approximately 80% of the total cost of the journey or less after deducting the direct costs incurred in own bookings when the vehicles and services are reserved belonging to the order.
2.2.4 Client cancels 29 days or less from the start date of the trip
If the multi-day trip is canceled 29 days or less from the trip's start date, there is no refund.
2.2.5 Client does not attend the trip
A client who does not attend the multi-day tour is not entitled to a refund.
3.0 AATI cancels the trip
If Arctic Activity Travel Iceland (AATI) decides to cancel the trip. In that case, the total cost of the trip will be refunded if the confirmation payment and the final payment have been paid. Otherwise, only the confirmation payment is refunded. The refund is made by the cancellation terms and procedures and paid at the first opportunity (within 14 days). The required amount is transferred to the same credit card as the confirmation payment in the same currency. AATI cannot be held responsible for delays in the payment system once AATI has completed paying the refund.
4.0 Change or cancellation of trip due to force majeure
Natural conditions in the travel area can change suddenly, so it is necessary to change the travel plan to minimize risk. It may also be required to follow the authority's request and cancel a trip if a major natural disaster is ongoing or imminent or there is a risk of epidemics and diseases in the travel area.
4.1 Change in the trip due to natural events, storms, or engine failure
Arctic Activity Travel Iceland (AATI) has the right to change the itinerary if necessary due to uncontrollable external events to ensure the Client's and vehicles' safety. Uncontrollable external events can be natural events, storms, fires, engine failure, or other events. Natural disasters are unusual and uncontrollable circumstances that can be due to, e.g., volcanic eruptions, earthquakes, rockfalls, landslides, avalanches, floods, and increased water levels in rivers in the planned travel area. The itinerary must then be changed to bypass the danger zone. Bad weather can also hamper travel and activities in the planned travel area. For example, if whale watching must be canceled because the whale watching ship cannot sail due to a storm or engine failure, the direct cost of whale watching is reimbursed.
4.2 Trip cancellation due to unusual and uncontrollable circumstances
Unusual and uncontrollable circumstances can, e.g., be the spread of epidemics or diseases in the planned travel area, when the health authorities warn against travel to the planned travel area, or if a travel ban is in effect. In those cases, the total cost of the trip is refunded if the confirmation payment and the final payment have been made. Otherwise, only the confirmation payment is refunded. The refund is deducted from the direct costs that AATI must pay for its orders when reserving the vehicles and services belonging to the order. A cancellation fee is retained to cover these accrued direct costs incurred when a trip must be canceled due to force majeure.

4.3 Trip cancellation due to force majeure
Uncontrollable external events can be when labor disputes, riots, terrorism, war, changes in the law, or other incidents occur in the planned travel area, which is not the fault of AATI or our Client and is beyond their control but prevents it from being possible to start or end a trip. In those cases, the total cost of the trip is refunded if the confirmation payment and the final payment have been made. Otherwise, only the confirmation payment will be made. The direct costs that AATI must pay for its orders are deducted from the refund when reserving the vehicles and services belonging to the order. A cancellation fee is retained to cover these accrued direct costs incurred when a trip must be canceled due to force majeure.

5.0 Liability of our partners for services provided
Part of the service that Arctic Activity Travel Iceland (AATI) provides to the Client is purchased from one or more of our partners. Partners are responsible for the services they provide. AATI does not take responsibility for the services provided by our partners.
6.0 Governing law and jurisdiction
This agreement regarding the services provided by AATI is governed by Icelandic law. The provisions of the agreement shall be interpreted and enforced in accordance with Icelandic law. Disputes related to this agreement about the services provided by AATI are subject to the jurisdiction of the Icelandic courts and shall be heard in Iceland before the Reykjavík District Court at Lækjartorg.
7.0 Insurance that AATI strongly recommends
7.1 Travel accident insurance recommended for the Client
Arctic Activity Travel Iceland (AATI) strongly recommends that our Clients have travel accident insurance from their home country during the trip to compensate for any damage they may incur. Unexpected and unpredictable events can happen without warning, so it is necessary to have travel accident insurance from your home country.
AATI's activities are planned and carried out with interest and excitement, but our Client's safety is paramount, and no unnecessary risks are taken.
The Client travels at his own risk, and AATI or its partners take no responsibility for deaths or accidents caused by the Client, attributable to their actions, or caused by circumstances due to force majeure.
7.2 Travel sickness insurance recommended for the Client
Arctic Activity Travel Iceland (AATI) strongly recommends that our clients have travel sickness insurance from their home country to cover unexpected costs incurred due to illness. If the Client falls ill during the trip, he is responsible for the medical expenses that may arise as a result, as well as the costs of transportation to a health center and transportation on the return trip. AATI is not responsible if our Client cancels and cannot make the trip. The Client is not entitled to a refund even if he does not complete the journey for these reasons or reasons for which AATI is not responsible and will not be blamed.
7.3 Cancellation insurance recommended for the Client
Arctic Activity Travel Iceland (AATI) strongly recommends that our clients have cancellation insurance from their home country to cover unexpected costs arising from unforeseen events, i.e., death or acute illness, so the Client cannot make the trip. AATI is not responsible if our Client cancels and cannot make the trip. The Client is not entitled to a refund even if he does not complete the journey for these reasons or reasons for which AATI is not responsible and will not be blamed.
7.4 Trip interruption insurance recommended for the Client
Arctic Activity Travel Iceland (AATI) strongly recommends that our clients have trip interruption insurance from their home country to cover unexpected costs due to trip interruption. The Client may have to interrupt a trip due to the death, serious accident, or severe sudden illness of his spouse, children, parents, siblings, or other close relatives, which makes his presence necessary in the home country.
A client may also have to interrupt a trip due to property damage to his home or business, which makes his presence necessary in his home country. AATI is not responsible if our Client cancels and cannot make the trip. The Client is not entitled to a refund even if he does not complete the journey for these reasons or reasons for which AATI is not responsible and will not be blamed.
7.5 Luggage insurance recommended for the Client
Arctic Activity Travel Iceland (AATI) strongly recommends that our Clients have luggage insurance from their home country. AATI is not responsible for baggage that is damaged, lost, or delayed during the Client's journey, whether on flights, automobiles, or other vehicles used and provided by AATI.
